If you fill out one of our website forms a notification email is sent to the relevant team within our company. A copy of the data you submit is therefore stored within our email systems for responding to your enquiry and a copy is kept for backup purposes within the website database. As our site uses SSL (https) the data you submit using the contact form will be encrypted once you press the “Submit” button.
We use a third-party supplier (Clook) to host our website. Whilst generally they would have no need to access our website content or database, it is possible they may from time to time mainly for support queries. We are assured the hosting provider is GDPR compliant.
When you call to book an appointment, the receptionist will take some information. This will be stored in the online notes system and will not be provided to any third parties. The information will only be used to contact you to arrange appointments, or to contact other health care professionals on your behalf. Your permission will always be asked before this happens.
When you contact our reception staff, they will ask you for your name, address, date of birth, GP surgery and maybe some other information. This is so that we can contact you if there are any problems with your upcoming appointment and contact your GP of this were to be necessary (with your permission only).
When the clinic is contacted via email. Your information may be transferred to the online clinic notes system as part of your records. The email will be kept for future reference unless you ask us to remove it.
Patient details are stored on the online notes system and clinical notes are kept by law for a minimum of a set number of years (depending on your specific circumstances). These records will not be shared with any third party and are total confidential.
We collect name, address, bank details and HCPC number of associates. This helps us to ensure that each member of staff has the required qualifications. These data are kept securely.
Recruitment is carried out via email. Any information sent by potential associates will be held on a computer with a secure password and within the emails sent.
We only store the data necessary to provide the services we provide to you. We will keep this data for as long as it is lawful for us to do so.
We use a number of third-party cloud-based services for the purposes of effectively running our business and providing our services to you. We also use a number of third-party organisations, e.g. accountants, HR support, etc.
